2025 Job Sign-up Opens: Now Open! (Opened May 18 at 7:00p) Closes: June 3 at 11:59p
Swim meets could not take place without the dedication of our parents. Thank you for helping our team have a successful season!
Each family is required to work five (5) jobs during the regular season. See below to view a how-to video about signing up volunteer jobs, or click here for all our how-to videos. Please contact Michele Fumagalli if you have questions about job signups. Be sure to read through the information below prior to reaching out with questions.
Expectations for Job Signup
Your swimmer(s) must be registered and paid for swim team in order to sign up for jobs.
Each family is required to work five (5) jobs during the regular season.
Each family can sign up for a maximum of two (2) jobs per meet (this would require 2 people from your family to work the same meet). No family can sign up for more than one (1) job at Time Trials because the Time Trials is a much shorter event than swim meets.
Each family must sign up for at least 1 timing job.
No one under the age of 15 can work a job during a swim meet, and some jobs require volunteers to be 18 or older.
Only adults are allowed to work grill jobs. Closed toe shoes are required. No sandals.
** Be advised that if you have a swimmer in either the Classic or City Meet, you will be required to work at that meet as well. The Classic or City Meet is NOT part of the 5 jobs required for our regular meets
Ideally, it is expected that all workers be present from 15-30 minutes prior to the meet (or shift) start time and stay until the end of the meet (or shift) if credit for working is to be received.

Swim Meet Volunteer Job Descriptions
Timer
Ages
15 and Up
You must sign in with the Volunteer Coordinator 45 minutes before the beginning of the meet. Proceed to the pool where you will see the "Head Timer" for a lane assignment. The timer uses a stopwatch to record swimmers' times during races. This position requires you to be on your feet throughout the meet at the poolside where you get an excellent view of the action. You will be called for the timers meeting sometime from 1/2 hour before to right up to the meet. In addition to using the stopwatch, you must confirm that you have the correct swimmer in your lane for each heat; one timer on each lane records times. You will be trained on the stopwatch if you are a newcomer. You CANNOT supervise small children and time at a meet. You may be relieved for a short (5 min) break at some point during the meet.
Clerk of Course/
Bullpen
Ages
15 and Up
You must sign in with the Volunteer Coordinator 45 minutes before the beginning of the meet. The Clerk of Course uses a bullhorn to announce events to the swimmers. Bullpen volunteers line up and lead each heat of swimmers to the pool deck, making sure that each swimmer reaches the correct lane. Your assistance may also be needed to locate swimmers who have not reported for heats, within reason. Sign up for this job if you enjoy communicating with kids of all ages and don't mind a little exercise during the meet. As you coordinate the duties with your partner, you should be able to take short breaks to watch your swimmer's events.
Grill
Ages 18
and older
Report to the concessions area for check in at the start of your shift. Then report to grill. Some of the duties include setting up the food and supplies for the grill area(first shift), working the grills and or serving the grilled food, and cleaning up the grill area at the end of the meet(last shift.)
Scoring
Ages 18
and older
You must sign in with the Volunteer Coordinator 45 minutes before the beginning of the meet. You will sort swimmers’ time sheets according to meet order or check labels/results after printed out. You will receive instructions from the Head Scorer at home meets or from the other team's scorer at away meets. You usually are able to sit during the meet and can get up to watch your swimmer's event.
Runners
Ages
15 and Up
You must sign in with the Volunteer Coordinator 45 minutes before the beginning of the meet. The runner will work on the pool deck, collecting timers' sheets and judges' DQ cards to deliver to the scoring table. You should plan on walking throughout the meet, although you may be relieved for a short (5 min) break. This is a good spot for watching all the events, although it is not for you if you have smaller children who need supervision during the meet. You will report to the timers meeting before the meet begins.
Marshal
Ages
18 and up
A Marshal is an on-deck official responsible for maintaining a safe and orderly environment during the swim meet. Marshals monitor swimmer and spectator behavior, prevent running, horseplay, or unsafe activity on the pool deck, and help ensure the meet runs smoothly. They also redirect swimmers and spectators from off-limits or restricted areas to keep the venue secure and organized. Marshals play a key role in promoting safety and ensuring a positive meet experience for all.
Floater
Ages
15 and Up
A Floater is a flexible, on-call helper during the swim meet who supports the smooth operation of volunteer roles. Their main responsibilities include relieving lane timers for short breaks and filling in for any volunteers who arrive late or are unable to complete their shift. This role requires attentiveness, adaptability, and a willingness to jump in where needed to ensure the meet runs efficiently.

15 and up
You must sign in with the Volunteer Coordinator 15 minutes before the beginning of the meet. The Bag Tag Runner delivers bag tags to each first place swimmer per race (or "heat). BTR's will receive a ziploc bag full of the bag tags upon check-in. Only swimmers aged 5-12 receive bag tags for their winning races.
